How To Source High Volume Promotional Items from China.
Whether it’s a B2C or B2B promotion don’t get caught out like some of the recent large retailers.
Make sure you use a sourcing agency that can provide you with audit reports/testing certificates and you can trust to deliver the product you originally ordered.
A few steps to follow and some pointers along the way.
1. Brief a sourcing agency giving budget, quantity, delivery date and information on audience and what the objective of the campaign will be.
2. Expect ideas and pricing back in 3 working days, if the agency has a good creative department ask for branded visuals using your logo or company colours.
3. Check what the pricing includes i.e testing, samples, freight, taxes and delivery.
4. Decide which ideas you want to pursue and order samples. These should come free of charge and take within 7 – 10 working days to arrive from China.
5. Once the samples arrive, make relevant changes and either ask for further samples else if you are assured these changes will take place, order the product and confirm artwork.
6. Request that the agency reveals the full audit report of the factory that will produce your products, if there is more than one factory then request all reports. This report will reveal staff information, labour hours and wages. Check the date of the audit report, it should not be any more than 1 year old.
7. Pre production samples should take between 10 – 14 working days and should reflect the quality of the previous sample. Check this carefully along with any pantone colours and artwork/packaging. Always keep a pre production sample for reference. The agency will need your approval before proceeding to the next stage.
8. Testing will be carried out on the product and production should only begin if the product has past. The agency should advise on what testing is needed for the specific item, however if you require a second opinion there are testing houses in the UK that can help you, ITS and STR being 2 of the largest. Be clear to the agency that you would like to see these reports as soon as they receive them.
9. Production varies depending on product although between 30 – 50 days for a promotional item is normal. You should be sent a production sample which should match the pre production.
10. Most agencies will carry out a DRI (During Random Inspection) during the production process. This involves taking random items from the production line and ensuring they all meet quality expectations set out by the agency to the factory. Agencies will either use their own employed fully trained auditors in China to do this else they will hire an official testing house to complete this task.
11. A FRI (Final Random Inspection) takes place towards the end of the production and it is not until the agency sees this report and approves it, are the goods released to the freight company.
12. You have the choice to sea freight (approx 35 days), air freight (approx 7 days) or Sea/Air (approx 20 days). This is dependant on the urgency of your promotion and your budget constraints. Your agency can offer all costs and will organise everything for you.
13. Once the goods arrive at the airport/port they will go through customs and all taxes/import duties are paid. The agency will usually include this in the cost dependant on your original requirements, again – check at the start what costs are included.
14. The goods will then be trucked to your warehouses and ready to go.
